The president is elected by the group to serve for a three year term.
The President leads all meetings for the members and the Board of Directors.
They are also responsible for overseeing the day-to-day management and operations of the Kids for Kaga organization.
Works to ensure that the Kids for Kaga exchange program continues to run and maintains connections with Tomono-kai.
Responsible for maintaining online accounts and social media.
The vice-president is elected by the group to serve for a three year term.
During the President's absence or inability, the Vice-President may exercise the President's duties and powers
The secretary is elected by the group to serve for a three year term.
Takes detailed notes during meetings of topics discussed and decisions made.
At the beginning of each in-person meeting, the previous minutes are presented to the group and motioned to accept.
The Treasurer is elected by the group to serve for a three year term.
Assists with keeping track of finances.
Works to obtaining grants and sponsorships.
Former treasurers must present themselves to pass on signing rights to the new treasurer in three years. The President will contact you with date, time & location.
In the case where the president does not travel to Japan, a Lead Chaperone will chosen. Otherwise, the president fulfills these duties:
Gives a speech at the Kaga welcoming and farewell ceremonies.
On behalf of the Kids for Kaga president, the Lead Chaperone gives & receives the president's gift at the welcoming ceremony. (Traditionally this is a local piece of art.)
On behalf of the Hamilton mayor, the lead chaperone gives and receives Mayoral gifts and/or formal letters of friendship between the sister cities.
Responsible for ensuring the safety of the Kids for Kaga group while in Japan.
Leads the group throughout their international travels and daily itineraries with the assistance of the other chaperones.
This requires a team of volunteers as there is much to organize and book both for the trip in Japan and when Tomono-kai visits.
It should be noted that booking things in Japan can be very tricky: limited number of tickets per order, can't order until a few months/weeks before visit, selective of credit card type, etc... Ghibli museum is toughest of all!
Use the link below to book a spot in the Festival. In the parade, past, present and future Kids for Kaga members use props and costumes to celebrate what the exchange program is all about. It's awesome when the Dundas Tomono-kai kids are involved!
Option: members may choose to run an information booth during the Cactus Festival. This is optional depending on the size and availability of members.
